As we continue to expand, we are seeking an experienced Senior Travel Planner to join our dynamic team.

Job Summary:

Responsible for ensuring exceptional guest experiences and providing excellent customer service to travelers visiting a specific destination. They serve as a liaison between Bali Groups Planner and Bali’s tourism industry, assisting with inquiries, resolving issues, and enhancing the overall guest experience. The specialist works closely with various stakeholders, including hotels, tour operators, attractions, and local authorities, to ensure guest satisfaction and promote the destination.

Duties & Responsibilities:
  • 1. GUEST SERVICES:
  • Greet and welcome guests upon arrival, providing information about the destination, local attractions, and services available.
  • Assist guests with travel arrangements, including accommodation, transportation, and activity bookings.
  • Respond to guest inquiries, requests, and complaints promptly and professionally in liaison with the Bali Group Trips planner.
  • Provide recommendations and personalized suggestions based on Luxe Tribes brand standards.
  • Maintain a high level of knowledge about Bali’s offerings, including events, festivals, public holidays and local customs.
  • 2. RELATIONSHIP MANAGEMENT:
  • Develop and maintain strong relationships with local tourism industry stakeholders, such as hotels, resorts, restaurants, and tour operators.
  • Collaborate with partners to ensure seamless coordination of guest services and resolve any issues that may arise.
  • Negotiate and establish contracts with vendors to secure discounted rates or special offers for guests.
  • Attend industry events, trade shows, and networking functions to stay updated on industry trends and establish new partnerships.
  • 3. GUEST EXPERIENCE ENHANCEMENT:
  • Continuously seek ways to enhance the overall guest experience and exceed expectations
  • Collect and analyze guest feedback to identify areas for improvement and implement necessary changes.
  • Coordinate special requests and arrangements for VIP guests or individuals with specific needs.
  • Assist in the development and implementation of guest loyalty programs and incentives.
  • 4. CRISIS MANAGEMENT:
  • Act as a point of contact for guests during emergencies or unforeseen events, providing guidance and support.
  • Collaborate with relevant authorities, such as local tourism boards or emergency services, to ensure guest safety and well-being.
  • Communicate effectively with guests during crises, providing updates and instructions as necessary.
  • 5. ADMINISTRATIVE TASKS:
  • Maintain accurate guest records, ensuring confidentiality and compliance with data protection regulations.
  • Prepare reports on guest satisfaction, service metrics, and other relevant data for management review.
  • Manage guest relations budgets, tracking expenses and ensuring cost-effectiveness.
Capabilities, Education & Experience Requirements:
  • At least 3+ years of client relations or customer service experience in the hospitality industry
  • Associate or bachelor’s degree in a business related field, communications, other related fields (preferred)
  • Ability to interact, communicate and articulate ideas effectively.
  • English level A2 or B1 minimum in both reading/writing/speaking. Multilingualism is a plus
  • Excellent oral and written communication skills
  • Strong organization and analytical skills
  • Customer-oriented individual and an outstanding problem-solver
  • Ability to work independently with minimum supervision.
  • Able to handle the crisis situations.
  • Punctual and well Organized
  • Decisive, Engaging, is Enthusiastic and outgoing.

Additional Informations:
  • Location: This is an on-site and full-time position based in Bali.
  • Office hours: 40 hours per week, excluding lunch breaks.
  • Travel: Occasional travel will be necessar: Valid Passport Needed.
  • The Bali operation will require the team member to be available during scattered hours beyond 17:00 during some trips.
